Yearly or bi-yearly evaluations take up a lot of time and energy. They have to be prepared, organized, and conducted in an ongoing and professional way. Although many employers and employees find evaluations and feedback very important, they can also be a source of discontent and stress if some basic rules are not considered.

The following aspects can help your next evaluations become a great success:

  1. Preparation for the meeting:

Content:

  • Document employee performance on a regular basis
  • Note down facts you observed, be as objective as possible
  • Take notes of critical incidents
  • Gather all relevant information

Context:

  • Book the actual meeting well in advance and make sure both parties have enough time
  • Chose an appropriate, neutral room (ideally provide snacks and/or drinks)
  • Make sure you won’t be interrupted during your meeting (note on door, phone on silent mode, etc.)


Things you might want to consider:

Were there any changes in the employee’s responsibilities and tasks? Did any changes within the company structure have an impact on the employee? Were there any aspects of the employee’s personal life that might have affected their performance at work?

  • Explain the objective and procedure of the meeting
  • Let your employee talk first
  • Make sure you value the employee and their contribution to the company
  • Take employee ideas and suggestions into account
  • Talk about the aspects you do not agree with
  • At the end, summarize what was said
  • Take note of the conclusions you came to
  • Both the employer and employee should sign the evaluation form

On a more personal basis, it is very important you create a welcoming and pleasant atmosphere during your meeting. Make sure to be a good listener. Specifically point out the employee’s achievements, what you are proud of, and what they successfully worked on and improved since the last meeting. Be understanding about problems, concerns, and issues. Be outspoken. Most importantly: be open-minded and respectful at all times.
